HMT once receive the trip booking confirmation, shall pre-arrange of necessary things for the trip you choose and transportation, accommodations, and other services specified at the booking time and to the extent you have selected them, and subject to the following terms and conditions:
Procedures
When you have finalized your plans, please read the terms and conditions below as your booking is subject to these Terms and Conditions. A contract is formed once your signed and deposit is received by Holiday Mountain Treks and we accept and confirm the booking.
Deposit and Payment
A deposit of 25% of the trip price per person is required soon as you confirm the booking of the trip. The balance cost of the trip must be paid on arrival before the trip start. If the final balance is not received on time, Holiday Mountain Treks reserves the right to tear the booking as cancellation by you. If the booking is cancelled by you in this manner, your deposit shall be treated as a cancellation charge to cover our costs.
Changes by you
If you request any changes to your travel arrangements once we have confirmed a booking, all the cost different, will be payable by you, plus an amendment fee of 70.00 per revision per booking. If after the commencement of your trip you request any changes to your travel arrangements, we will do our best to implement them, but we cannot guarantee that it will be possible. In the event of such changes being made, you'll be liable for any cancellation charges that may be levied for the previously booked service and for any costs incurred by us.
Cancellation by you
You may cancel your booking at any time prior to commencement of the trip by notifying us in writing, which must be signed by the person that signed the Booking Form. If you cancel on or before 40 days the first day of the trip, we'll retain your deposit to cover our costs. In addition, additional cancellation charges shall be as follows:
Cancellation by us & major changes
Holiday Mountain Treks reserve the right to cancel the tour and/or to make changes to the travel arrangements. Such cancellations and/or changes are sometimes necessary due to circumstances beyond our control. If your tour is cancelled, we will notify you in writing at the earliest possible date and you will not loss any money. If you do not notify us in writing of a cancellation, then you shall have accepted the changes.
Alterations to the trip
Occasionally non-major changes may be made to your trip arrangements which we reserve the right to do at any time and we will advice you at the earliest possible date. These changes may be the result of force major or similar reasons beyond our control, delays in departure, weather conditions, strikes, decisions by state government or tourist organizations, altering the itinerary, the duration of time spent at a location or even omitting a destination or part of the itinerary due to the local situation. In such cases we will offer comparable alternative arrangements, if possible, but if not, will make an appropriate refund to you commensurate with the nature of the change.
Prices
All prices are based on US dollars. Once your booking is accepted by us, we will not make any changes to your price after you have paid the final balance. Prior to the time you pay the final balance, we may revise the tour solely due to increased transportation costs and other factors. Normally no such revisions shall amount to more than 10% of the trip price.
Trip Confirmation
Who is willing to book the service and reserve the place on trip with Holiday Mountain Treks; a deposit of US$100 per person (non refundable) is required along with trip confirmation.
Booking
The booking of the trip, normally should be signed in the printed form but it is accepted over the Internet too. Once the trip is confirmed, the payment also can be made in advance. A trip to restrid or permitted are and peak climbing or Expedition; 50% of the total cost should be made in three weeks before the trip starting date. The balance payment to be made upon arrival in Kathmandu by travelers' cheque or cash and any major cards.
For normal trip we do except last minute bookings if places are open for any departure. In such case all payments can be made, in Kathmandu prior to departure of the trip.
Payment Mode
After choosing any trip of Holiday Mountain Treks, it is time for the payment. It is easy and cheap to do so. However all payments must be made in US dollars, Euro by a bank transfer or with credit cards in favor of Holiday Mountain treks & Expeditions Pvt. Ltd.

Cancellation
By any reason of the participant if the trip is cancelled of confirmed booking the following fees are applied:
- More than 40 days before departure – 10% of the total cost
- 30 days before departure date - 20% of total cost
- 10 days before departure date - 45% of total cost
- Less than 10 days before departure date - 75% of total cost
Risk and Responsibility
Any trips booked with Holiday Mountain Treks are in good faith, as easy and enjoyable as possible and without any complication end. However Holiday Mountain Treks cannot be held responsible for:
- A delay arrival of the clients than the trip starting date applicable for group travel.
- Accidents or illness in the mountain and without means of paid evacuation.
- Lost of any valuable items of the clients
- Changes in departure date or cancellation of the trip due to reason/circumstance beyond our control.
- An alternate route or cost arise of the trip due to flight cancellation or otherwise.
- The company will do every support in the emergency and any help client need.
- Clients should have good insurance, health and equipments as trip taken
- Client should take Medical and evacuation expenses which is covered by insurance
- Client should understand that within a group might involve compromise to accommodate the diverse desires and physical abilities of group members.
Refund or Compensation
In the case of booking trip cancel, refund of the money depends on time duration of cancel and trip starting date, whereas, the refund is normally not given once the clients go on the trip because most of the expenses of trip is done. However, as good understanding and humanity; the client will get a little refund or alternate trip as compensation only in the case of genuine and reasonable claim. |
